Challenge

A retail team sharing files by email

A clothing shop in Georgetown with seven staff used email to share price lists, supplier contacts, and roster updates. Documents were frequently out of date and staff were uncertain which version was current.

Solution

Centralised files with simple access

After the Communication Review identified file versioning as the core issue, we set up a shared drive with three folders — current documents, archived documents, and a shared noticeboard. Two training sessions covered the whole team.

Outcome

Staff confident in where to look

Within a month, the owner reported that staff were no longer asking each other where the current price list was. The roster was updated in one place and accessible by phone. The arrangement has remained in use with no changes needed.

Challenge

A professional practice with too many channels

A small accounting firm was using email, a messaging app, and phone calls for client communication — often mixing client matters with internal coordination. Staff spent time searching back through message threads for key information.

Solution

Separated internal and client communication

We introduced a channel-based tool for internal coordination and kept the existing messaging app for client contact only. The separation removed the mixing and made internal information easier to find. Staff received individual walkthroughs.

Outcome

Less searching, clearer handovers

The firm's principal noted that end-of-day handovers between staff became noticeably shorter because context was recorded in the correct channel. The monthly subscription cost was less than initially expected.

A two-site logistics firm had grown from three to nine staff. Task assignments were given verbally or via WhatsApp messages. Deadlines were missed not because of carelessness but because there was no clear shared view of who was responsible for what.

Solution

Shared task board linked to calendar

Using the Connected Teamwork service, we linked a simple task board with a shared calendar so each site could see what was assigned and due. The quarterly review at month three adjusted the column structure after some tasks were falling into the wrong category.
